In the context of a powerful expense management platform like Payhawk, an efficient Supplier Management System was crucial for businesses in order to navigate their vendor relationships and financial processes. As a product designer at Payhawk, I undertook a complicated design challenge and was able to deliver an experience that empowers businesses to optimise costs, enhance processes, and maintain strong vendor partnerships.

Discovery

I conducted dozens of interviews with industry professionals whose businesses rely on managing a high volume of suppliers. A recurring pain point was the lack of an adequate and convenient way to store, update, and pay suppliers efficiently. Discovery insights highlighted the need for a centralized repository to manage supplier details, which would streamline administrative tasks and significantly reduce manual effort. Integration with existing accounting systems also emerged as a critical requirement to ensure seamless financial operations.




Solution

In a nutshell the Payhawk’s Supplier management system offers the following functionalities:

• Centralised repository for storing and managing supplier details. This includes essential information such as contact details, tax numbers, payment terms, and other relevant data.
• By having all supplier information in one place, businesses can streamline administrative tasks. This reduces the time spent on manual data entry and ensures accuracy when processing invoices and payments.
• Integration with Accounting Systems like QuickBooks Online, Xero, and MS Business Central. This means that supplier data can be synchronised between Payhawk and these accounting platforms, ensuring consistency and efficiency.
